Portals – Portal Invites
Inviting Clients
and Partners to Use Portals
BNTouch gives you access to tools and
resources to make sure your business runs smoothly and effectively. In addition
to your CRM, however, BNTouch also offers Portal websites for your Clients and
Partners. This way, everyone you work with has access to the most up-to-date
information, efficient communication, and powerful resources. Our Loan and
Partner portals allow your borrowers and partners to get involved in the
mortgage process, and all you need to do to get them started is send them an
invitation.

Inviting
Borrower to Loan Portals
To invite your clients to their portal
sites, you first need to open the client’s record in your CRM. In the Mortgages
Tab, find the borrower and click on their name to open their file. In the
“Mortgage Info” sub-tab, look to the right. In the gray box with the client’s
contact information, you’ll see a section labeled “Portal” at the bottom. To
get them started with their portal, click the “Invite” link.

An email editor will appear, and a
default message with links and instructions will automatically be opened. The
borrower’s contact information will be brought in from their record, and the
email message will be personalized for them via the Meta-tags in the
instructions. If you want, you could send the message immediately using the
“Send” button in the upper-right corner of the screen. You could also choose to
customize the letter by adding anything you’d like.

One thing you’ll notice is a section of
the message about the portal password. If your account has password protection
active for your Loan Portals, your borrowers will need to enter a password in order to log into their portal site. Some accounts will
allow you to set a default password for all of your
client portals. If you aren’t sure whether your account requires portal
passwords or has a default password, please contact your administrator.
You can always find a client’s portal
password by opening their record and checking the “Contact Info” sub-tab.
Toward the bottom of this page, look for the “Individual Portal Password”
field. You can set it to whatever you’d like here. Borrowers can log into their
portals using this individual password, your user-specific default password (if
enabled), or the last four digits of their social security number.
To send this password to your client, you
can copy it from this field and send it to them in an email or SMS message. You
can also choose to just include the password in the original invite email by clicking
the “With Password” (w/p) portal invite link in the “Mortgage Info” sub-tab of
their record. This will send the same email message as before, but it will
include the portal password.

Inviting
Partners to Partner Portals
Borrowers aren’t the only ones who can
use BNTouch portal sites to communicate with you and stay on top of their
mortgage needs. Partners can be anyone who works with you in your transactions
for mortgage clients, including listing agents, buying agents, escrow officers,
CPAs, insurance agents, and more. Partner Portals are unique to each partner in
your CRM, and these portals have several tools and features your partners can
use to stay on top of their work.
Inviting your partners to access their
portals is very similar to inviting borrowers. In this
case, open the “Partners” tab of your CRM, and click on the name of a partner.
In the “Partnership Info” sub-tab, you’ll see a gray area to the right with the
partner’s contact information. Just like before, you can click the “Invite” link
here to send an email with login information and instructions for the partner’s
Portal.
You can also choose to send the password
with this invite using the “With Password” (w/p) link. Partners can log into
their portals using either this “Individual Password” or your user-specific
“Default Password” (if enabled).

Accessing Loan
& Partner Portals
Once your clients and partners have
access to their portals, you can always check up on them by opening their
portal sites. This way, you can see the tools they have available and make sure
everything is set up effectively.
In the same location that you sent the
portal invites--the “Mortgage Info” sub-tab for a client record or the
“Partnership Info” sub-tab of a partner record--you’ll see a “Click to Visit”
link near the portal invitation. When you open this link, you’ll see the
client’s or partner’s portal as they see it. Note that if the portal is
password-protected, you’ll need to enter that password. Remember that you can
always find this password in the client’s or partner’s “Contact Info” sub-tab.
