Review Your Marketing with the Campaigns Status Report

When you have many automated marketing campaigns running at once, you still need to review your business effectiveness to stay on top of the mortgage industry. In the BNTouch CRM, you can check the current status of all of your marketing endeavors at any time using the Campaigns Status Report. Here, you can easily track the numbers of active and completed campaigns you have, check which clients are being reached by these campaigns, and quickly navigate to individual campaign steps to improve your marketing materials.

Campaign Reports List

In the Marketing Tab of your CRM, click the “Campaign Reports” sub-tab at the top of your screen. If you don’t see this option listed due to the width of your browser window, hover over the “More” link in the upper-right corner of the page to view any hidden sub-tabs.

In the Campaign Reports screen, you will see a detailed overview of the campaigns that are currently active for your account. Each row in the table represents a single marketing campaign, and you can open that campaign by clicking the blue “Name” link here. This allows you to quickly edit campaign steps, triggers, and settings.

To the right, you can see how many client and partner records the campaign is actively running for, followed by how many records have paused, unsubscribed, or successfully completed all steps of the campaign.

Records on Campaign

For each campaign, you will see two links to the right that will show more detailed analytics about the clients and partners that it has reached. The first, “Records on Campaign”, will show a list of all records that are part of the campaign. In the list of records, you can see which CRM user they are assigned to, any groups they have been added to, the source of the lead or partner, their current place in the marketing sequence pipeline, their status in the selected campaign, and the date the campaign started for that record. You can also jump directly to that client or partner’s record in your CRM by clicking their blue “Name” link.

Above the list, you can use the “Campaign Actions” menu, to take actions upon several records at once. To do so, simply check the boxes to the left of the records, click “Campaign Actions”, and choose what action you wish to take. You can start new campaigns from here, stop or re-start the selected campaign, or re-run specific steps in the campaign for the checked records using this drop-down menu. You can also assign records to a new CRM user from here using the “Select for Assignment” button. In this case, you can choose which user the records will be assigned to and confirm the action on a new screen.

By default, this report will show only records that the selected campaign is “Active” for. You can instead see records with different statuses for this campaign by using the “Show Status” drop-down menu in the upper-right corner of the screen. This allows you to view only records that are Active, Paused, Unsubscribed, or Finished for the campaign. “All” will instead show all records on the campaign regardless of status.

Campaign Summary Report

Back in the Campaign Reports screen, another option will appear further to the right of each campaign: “Summary”. Clicking this link will open a detailed report that itemizes each of the steps in the campaign. The title of each step will appear above, and a count for how many records are at each status of that step will appear below. The colors for these numbers will match the statuses listed in the “Status” column: “Sent,” “Read,” “Not Read,” and “Skipped.”

For steps with the “Skipped” status, a breakdown of the reasons that the step was skipped will appear with a more specific record count to the right. Like with the “Records on Campaign” report, you can filter this report by a record’s status in the campaign using the “Show Status” drop-down menu in the upper-right corner.
