Migrating to BNTouch

Successful CRM implementation starts with proper data migration. When transferring over your information from other systems, such as Outlook, you need to pay attention as where to place it in BNTouch CRM system. Proper placement ensures greater targeting of your marketing message.

Understanding Data Structure

BNTouch has 2 databases: Mortgages and Partnerships. The databases are separate – you can’t move records between the two. Mortgages database stores loan files and Partnerships database has all your referral sources and other partner records.

Records in each database are “moving” through the sales pipeline (funnel). 

Mortgages database:
- Lead
- Prospect
- Application
- In-Processing
- Funded
- Cancelled
- Long Term Follow Up

Partnerships database:
- Business Card Collected
- Interested
- Active Partner
- Preferred Partner
- Terminated
- Vendor

Every record in your database has to be in one of the stages. Besides that, each record is placed into a Contact Group. A record can be placed only in one Group. Groups are customizable by the account administrator in your company.  Usually, Groups are used to organize partners into “Realtors,” “Attorneys,” “Tradeshow,” etc

Pipeline stages and Groups can be used to target and setup your automated marketing. In fact, they can be used together to trigger a marketing event. For example: Start marketing campaign for “Realtors” in “Active Partner” stage.


When Exporting Data from Other Systems

When exporting data from your Outlook or ACT!, please use default export and export all fields. Those systems do not store large number of fields, so it is easy to work with full export files when mapping the fields on the import process in BNTouch.

Your Loan Origination Software, on the other hand, stores a large number of fields, so it is advisable to export limited number of them. Please make sure to export only fields that are relevant to relationship management and marketing. Export from LOS is usually done via reporting feature.

When Importing Data into BNTouch

Each CSV file’s data can be imported only in one pipeline stage and one group. If your CSV file has your funded files as well as leads, please make sure to split them into two files before the import.

Same with groups, if you have a file with your partners’ records that list your Realtors and Attorneys (and you want them in different groups), please split the file into two and upload separately.
